Robert Marzano Identifies Assessment & Grading Practices That Work In New Book

Dr. Robert Marzano draws on more than 35 years of research to formulate expert advice on best practices for creating truly reliable assessments and implementing accurate grading methods. Sorry, students, your grades are a mouse click away
Parents in four school districts can check child's progress online

  HOUSTON, Texas -- Some jokingly refer to the trendy computer software as Big Mother, but that doesn't bother Tonya Tacy, a mother of two boys at La Porte High School.

Tacy said it's her parental responsibility to take advantage of the La Porte Independent School District's electronic grade book system, which allows her to view her sons' grades and attendance 24 hours a day, seven days a week.

She simply logs onto the Internet, enters a password and, voil, she can see how her sons fared on every assignment and test.

"It's helped me great," Tacy said of the district's online system. "A lot of times they do their homework but forget to turn it in. So this way I can stay on top of it."

A growing number of area school districts are purchasing online grade book systems that allow parents to keep tabs on their children's every grade, tardiness and absence without having to wait for progress reports to come home every few weeks.


Instant notification
In some cases, parents can request an e-mail be sent automatically if their child's grades drop below a certain average or if their absences increase.

School district officials say the computerized grade books help parents stay more informed and save teachers' time by mechanically calculating course averages. Parents and students also can catch any input errors immediately.

The Alief, Clear Creek, Humble and La Porte school districts use online grade books, and Galveston and Cypress-Fairbanks plan to launch programs later this fall. Houston ISD, the largest district in Texas, has not jumped on the bandwagon.

"In general, the idea of parent communication via the Internet is gradually becoming not only more popular, but because more districts are doing it, the expectations on districts that are not is becoming higher," said Brad Baird, a vice president at Excelsior Software Inc., one of several companies in the electronic grade book business.

"It's a technology that's finding its way into mainstream public schools, and I don't see that it's going to dissipate anytime soon with No Child Left Behind and all the accountability requirements," Baird continued. "Getting parents involved is a key component in making sure your children are keeping pace."

Founded by two Texas A&M graduates, Excelsior launched its grade book product in [1986]. Now some 900 districts across the country use the system.

"It's very popular with parents, very popular with the teachers, not so popular with the students," said Jamie Hicks, the instructional technologist at Humble High School, which has used the software for three years.

Kimberly Ray-Denton, a mother of three sons at Ball High School in Galveston ISD, said she is anxiously awaiting access to the Web site. She plans to check it "two or three times a day."

"I say, yes, finally, I can keep (track of) progress day by day," she said. "Last year, for instance, my son had so many tardies, but I was clueless about it until I got a letter that I had to pay a fine."

This mother already has warned her sons she'll be watching. "They know they just can't get by with as much as they used to," she said.

Northwest ISD will continue enrollment in its innovative Pinnacle Internet Viewer system this fall, allowing parents to go online to access information about their children.

All parents were offered the Pinnacle Internet Viewer system during the last school year.

Pinnacle Internet Viewer allows a parent to subscribe to a notification system that will automatically send them an email to update your child's attendance record or academic progress.

Parents may request an email that will include attendance and gradebook reports. Parents can also have automatic grade, discipline and unexcused absence notifications via email.

To create a Pinnacle Internet Viewer account, a parent must provide proof of verification of guardianship (birth certificate); a driver's license, passport or government issued ID; complete a PIV Acceptable Use Agreement and provide a password.

Improved Communication Benefits Pottsville Schools
Pinnacle System brings parents, teachers together

As the need for communication between parents and teachers increases, the Pottsville School District has worked to meet the demand for interaction head-on by implementing a new Web-based student information system. The districts Pinnacle System has allowed parents to remain up-to-date on their childs progress at school, and has increased communication between parents and teachers, according to Jenifer Cioppa, high school librarian. Pottsville School District has purchased and is in the process of implementing the Pinnacle System district wide, Cioppa said. The middle grades and the high school began using components of the system at the beginning of this school year.

The Pinnacle System integrates grade and administrative data while simplifying the data entry and reporting processes. It is a complete electronic student information management system, not just a grade book for teachers.

According to Cioppa, grades, student attendance, discipline reports and other data can be recorded, standardized, viewed and used by teachers, administrators, students, and parents through the Pinnacle System. Implementation is an ongoing process and is being accomplished in phases, Cioppa said. Currently, the Parent Internet Viewer, Web Gradebook, Gradebook2, Principal Viewer, Attendance Viewer, and Student Viewer are installed and integrated into the daily school day. Cioppa said the Pinnacle System is a collection of products, including Gradebook2, Attendance Viewer, Student Viewer, Principal Viewer, Parent Internet Viewer, Web Gradebook and Pinnacle Notification Systems. Gradebook2 is the electronic grade book used by the teachers to report grades, attendance and discipline. Any information posted in Gradebook2 is available in real time to the parents, students and administration.

The Parent Internet Viewer and the Student Viewer allow parents and students to view grades, attendance and discipline information in real time. Parents and students received unique IDs and passwords for the viewers, and the viewers are secure the students name does not appear on it.

The Web Gradebook allows teachers to work on their grades at home without any of the checking process previously used with GradeQuick and Edline. Cioppa said Pottsville used Edline, a similar system many local school districts use to keep parents updated on student progress, for several years before switching to the Pinnacle System.

Pottsville had used Edline for the past five years, she said. The one complaint heard from parents about Edline was that it was not always current. The Pinnacle System eliminates that problem. As soon as information is entered into the grade book, the information is available to parents, students and administration.

Another plus for us is the Principal Viewer and the Attendance Viewer. These are used by the office and administrators; information entered by them is sent to the teachers grade books.

The customizability of the program was another plus in the decision made to move to the Pinnacle program.

The district will continue to improve its use of the Pinnacle System, Cioppa said.

Future phases will include the implementation of an automatic generation of letters to parents based on criteria they select, such as if a student receives a failing grade, she said. Also planned is the integration with a phone system to provide school-to-home attendance and grade reporting. We are in the process of entering the standards into the program, and this will allow us to link the students performance to appropriate standards and benchmarks, proficiency levels or scoring rubrics.

Parents and teachers prefer this system. The teachers find it easier and quicker, and the parents love the real-time reporting aspect.

Online grade book puts parents in loop
PSD students also benefit from easy-to-access information

  Fort Collins parent Jeff Conrad used to check his kids' official grades once or twice a quarter.

Now, thanks to Poudre School District's Internet grade viewer, Conrad is able to check his sons' progress once a week.

"We actually have made it our kids' homepage on their browser. It reminds them to go check their grades," said Conrad, whose two sons attend Fossil Ridge High School and Kinard Junior High School. "It's actually more important for them than for me."

The Pinnacle Grade Viewer, otherwise known as the Pinnacle Internet Viewer, or PIV, is available to students and parents of students in seventh through 12th grade.

Teachers enter grade information into their electronic grade book and Pinnacle organizes and formats the data for parents and students. The program also averages the grades for teachers.

PIV is an innovative way for parents to follow their child's progress without waiting for parent-teacher conferences, said Michael Goar, a math teacher at Fort Collins High School for seven years.

"I think there's been some increase in the number of parents who get involved in their child's education," Goar said. "If a parent was hesitant to contact a teacher on a regular interval, this gives them a way of getting that information about their child's education without feeling like they were taking up too much time. For some parents it is really a godsend."

The program, which began two years ago, has been redefining how parents and students keep track of their grades and assignments.

"When an assignment they thought got handed in shows up on PIV as a zero, they realize they need to go talk to the teacher," Conrad said, noting that the only problem he's found is that sometimes teachers have a hard time keeping up-to-date with the online grade book.

A feature of the program allows parents to register online to have their child's grades sent to them weekly and know via e-mail if their child's grade drops below a certain average or the student is absent from a class, said Sherry Workman, student information manager at PSD.

"The Pinnacle Grade Viewer is in no way to replace that personal contact between teachers and parents," Workman said. "It is only meant as a tool to enhance that communication."

Often there isn't enough time during the day to return every parent's call or e-mail in a timely manner, Goar said, and having the new program makes it easier on teachers and parents.

Still, not all parents have bought into the program.
Evan Hyatt, whose daughter attends school at Kinard, said he's only used PIV once.

"I just have never found a need. I feel that I have enough of a relationship with the teachers that I get the information I need in other ways, or through my kid," Hyatt said.

If parents are unsure how to access the program online, Workman said, there is a video online that teaches parents step by step.

Workman said the district plans to discuss whether the program would be beneficial in lower grades.

"The program is overwhelmingly a positive impact," Workman said. "Teachers have expressed how much more involved parents seem to be in their child's class work because they can access that information at any time, even from their workplace, if it's permitted."

Teachers' grade books will soon be a click away
Online grade books are coming to all Miami-Dade and Broward schools, allowing parents to monitor their children's attendance, scores and other information.

  MIAMI, FLA. (Aug 07, 2005) The easy joke about electronic grade books is that parents love them, students hate them and teachers are a little afraid of them. After the punch line, though, the reality is more complicated, and it is changing education.

The software, which provides online access to student test scores, homework results and attendance, has been used for years in a handful of South Florida schools, where teachers and parents said it has had a profound impact on teaching, learning and parenting.

''If I wanted to create probably the greatest mutiny, I don't think there's anything I could do to have a greater impact than taking the electronic grade book away from the teachers,'' said Irwin Adler, principal of Herbert Ammons Middle, a Southwest Miami-Dade school that has used the program for six years. ``What they're able to do with it is monumental.''

Based on experiments at 59 schools in Miami-Dade and 35 in Broward, both counties have signed multimillion-dollar contracts to use the software districtwide. The grade books will be in every Miami-Dade public school by the end of the 2005-06 school year -- which begins Monday -- and charter and vocational schools will be added next year. Broward plans to use it in 72 middle and high schools this year, as well as eight to 10 elementary schools that will serve as models for a full elementary rollout next fall.

BIG USERS
The two districts will become the largest ones in the country to fully adopt computerized grade books. ''The largest districts in the country are sort of the last adopters,'' said Brad Baird, a vice president at Excelsior Software, the Colorado company that sold the Pinnacle grade book software to both districts.

The software is not much to look at, little more than a spreadsheet, but teachers said it has dramatically simplified their lives by slashing paperwork that used to monopolize at least a few days every semester -- days the students would often spend on busy work while teachers wrote individual progress reports by hand.

The electronic grade book automatically calculates averages and generates report cards, allowing teachers to spend more time teaching. ''It's like boom, boom, boom, done,'' said Arnie Moore, a math and computer science teacher at Western High School in Davie, which adopted the program in 1997.

It takes him about five minutes to input an entire class' grades for a test or project. He has already customized the program to meet his system of weighing various assignments, so each student can always track their up-to-moment average.

''It's cool because you can see it right away,'' said Deanna Kalil, 14, who finished at Ammons Middle last year. ``You know what classes you have to work harder in.'' Her mother, Donna, checked it regularly, keeping up with Deanna's grades and attendance. The software allows parents to check in using Web-based software that works from any Internet-connected computer.

RIGHT ON SCHEDULE
''I love the fact that I can do this at 2 in the morning if that's my first quiet time,'' said Karen Bzdyk, president of Ammons' PTSA. Parents also can customized Pinnacle to send e-mail on a regular schedule -- a weekly update, for example -- or alert them when their child has an unexcused absence or slipping grades.

''The beauty is that it doesn't require any work on behalf of the teacher,'' said Baird, whose company signed a $2.3 million contract with Miami-Dade and a $2.8 million contract with Broward.

The program also allows parents to access most of the same information over an automated phone system, a crucial service at high-poverty schools. ''We feel it's really necessary because a lot of homes don't have PCs,'' said Debbie Karcher, Miami-Dade's information technology chief.

At schools that have used the program for a few years, parents have become accustomed to catching their childrens' slumping grades while there is still enough time to save the semester's grade. 'We don't have anymore parents coming to us and saying, `Jeez, I didn't know my child was getting a D,' '' said Adler, the Ammons principal.

MIXED FEELINGS
Students often start off unhappy with the program's Big Mother implications. ''They realized it wasn't just a matter of report card time when they had to be concerned about my reaction,'' Bzdyk said. ``They don't like having to explain themselves.''

But many said they grew to like having the same real-time information about grades that they enjoy for news, sports and entertainment. ''Our kids are skeptical about it in the beginning, but we find they end up using it more than their parents,'' said Scott Fiske, Western's principal. ``You don't have to wait for the teacher to hand back your paper to find out your grade.''

As teachers get more comfortable with the program, even more information will be funneled into it. The software can track what topics are covered by each assignment or test, which allows schools to ensure they are meeting Florida's state standards. With an application on Excelsior's website, parents can use that same data to design at-home tutoring that addresses their child's weaknesses. ''It's going to be a wonderful tool,'' said United Teachers of Dade president Karen Aronowitz, whose union helped plan the rollout.

In Miami-Dade, 80 schools will receive the program each quarter, which should bring it to each campus by the end of the school year. Parents will be able to log in two quarters later, a lag imposed by district officials who want to give teachers time to adjust. District officials are training at least one teacher from each school to be a resident expert, and those teachers will educate their colleagues.

''You have a cultural change for teachers,'' said Debbie Graper, a technology administrator with the Miami-Dade district. ``At first they're hesitant, but once they do one marking period in a half hour, you've got them.'' Broward will integrate Pinnacle with its existing online parent system, Virtual Counselor, which tracks long-term information about grades, curriculum and test scores. ''They're going to merge very well together, and we're going to create a connection so parents can bounce back and forth,'' said Jeff Stanley, Broward's a technology director in Broward.

Pinnacle and other electronic grade book systems are already widely used in smaller districts, as well as many South Florida private schools. Other Internet-based programs across the country are giving parents unprecedented access to their children's school lives, such as MealPay, a program used in five Florida counties that allows parents to track what their children eat at school.

''We get increased parent involvement and contact because they're looking at [Pinnacle] on a regular basis,'' Fiske said. ``Just like any negative occurrence, whether it's health-related or school-related, the earlier you see it and diagnose it, the quicker you can do something about it.''

Miami-Dade County Public Schools Partner with Excelsior Software to Provide Pinnacle Gradebook to All Teachers
Board votes unanimously to implement essential tool for meeting performance goals

  GREELEY, COLO. (April 19, 2005) To help the district communicate more efficiently and regularly with parents about their students progress, to ease teachers paperwork burden and meet its accountability goals, Miami-Dade County Public Schools (MDCPS) has partnered with Excelsior Software, the leading provider of meaningful assessment tools for K-12 schools. The Miami-Dade School Board voted unanimously for a five-year contract, which calls for Excelsior to provide its Pinnacle System to all 360 schools, serving 360,000 students, in Miami-Dade County.

The committee that selected Excelsiors software saw that it was the product that best reduced teachers workload and that fit into our strategic plans for student data, said Deborah Karcher, Executive Officer of Information Technology Services with MDCPS. Pinnacle will integrate with our district data warehouse initiative to support plans for classroom management and focused instruction, which are so important to improving student performance and for accountability purposes.

All Miami-Dade schools will begin using Excelsiors Pinnacle System in the 2005-2006 school year, helping teachers to better manage their classroom time and providing the ability to instantly collect and report data that can be used to improve student performance. The Pinnacle System includes the Gradebook2 electronic gradebook, the central technology tool used by teachers to manage their daily student information.

In 1998, many schools in Miami-Dade County began individually adopting Excelsiors Pinnacle System. Four years later, the United Teachers of Dade conducted a research study on teacher use of the Pinnacle gradebook. Both administrators and teachers provided strong feedback about the capabilities of the gradebook to meet their needs.

On the administrative end, comments from both school administrators and school technical support personnel were universally positive, describing the software as trouble-free, robust, and requiring little time or maintenance. Miami-Dade teachers, meanwhile, overwhelmingly cited time saved through using the gradebook and felt strongly that it was an effective classroom management tool, many saying that they couldnt live without it. The Board weighed the factors of proven functionality and enhanced productivity strongly in the recent vote.

As the 2000 Florida Teacher of the Year, I traveled the state to learn about the technological tools that teachers were using to help them to work more skillfully, commented Stephanie King, social studies teacher at North Miami Senior High School. Throughout the state, every school that used Excelsiors Pinnacle System told me the same story not only were teachers pleased, but students loved it. They became much more interested in their school performance and more motivated to complete their work.

In terms of the big-picture impact that the contract will have on Miami-Dade schools, King added, Having the electronic tools provided county-wide helps to overcome the inequity among our schools. Schools and students most in need of quality teaching are often forced to do without because of the lack of adequate productivity tools for teachers. The adoption of Pinnacle county-wide goes a long way to redress this inequity.

While the electronic gradebook is used by classroom teachers, Excelsiors Pinnacle System manages the data from every teachers desktop to capture student information at a school-wide level. Additionally, the Pinnacle System automates time-consuming administrative tasks for Miami-Dade schools, such as creating student rosters, collecting attendance and generating report cards.

The new county-wide contract also calls for Excelsior to provide training for those Miami-Dade schools who have not previously used the Pinnacle System. The remaining terms of the contract were not disclosed.

Cassopolis Public Schools Start Online Grade Book
Parents can connect with district via Net

  CASSOPOLIS, IN (January 5, 2005)-- Cassopolis Public Schools parents no longer have to wait for report card time in order to find out how their student is doing in the classroom.

This school year the district added an electronic grade book to its Web site, providing parents with instant access to information such as course grades, test and assignment scores and upcoming homework due dates or test dates. The program, Pinnacle Internet Viewer, is offered through Excelsior Software Inc.

"As a parent I can become much more involved by going online," said Superintendent William Trujillo, who has used the program in other districts for nearly 10 years.

In his experience, the tool is easy to use and has been a tremendous help in parent-school communication.

"We have parents who work going online in the office," he said.

Principal Rusty Stitt agreed that the convenience of student reports has benefits.

"If their child didn't turn in a math assignment, it will show when that date was and how many points it was," Stitt said.

Parents also can find out when a test is so they can encourage the child to study, he added.

The program also offers parents a way to monitor attendance and disciplinary records online. Trujillo pointed out that working parents who might leave for their jobs before their high schooler leaves for school also can keep tabs on if the student makes it to first or second hour.

In order to obtain individual student information, parents need to contact the school for the student's identification number and personal identification number. According to the Pinnacle Internet Viewer Web site, the reports will not display the student's name for security reasons.

Families without Internet access at home also can use two computers available at the elementary and high school to log in.
